The following overview outlines the independent responsibilities of Fast Company and your organization in the coordination and management of Future Forums.
- Design a targeted program based on the goals of both your organization and Fast Company
- Manage speaker selection and contract negotiation
- Provide moderator from Fast Company editorial staff
- Manage and facilitate program development
- Manage and support event marketing -- including invitation design, print, and mailing
- Collect and coordinate RSVPs
- Manage venue selection and coordination
- Manage attendee registration
- Create custom signage and manage on-site setup and breakdown
- Manage food and beverage for opening reception and break
- Manage on-site audiovisual enhancements
- Distribute complimentary issues of the most recent Fast Company magazine
- Create and tabulate postevent attendee evaluation for presentation to partner
- Generate invitee list -- guest list of approximately 1500 target invites per event
- Deliver mailing list on mailing labels to Fast Company
- Provide representative to introduce the event and start the discussion
- Logo on all event materials (invite, signage, program materials, take-away)
- Opportunity to present each attendee with a complimentary gift take-away
- Opportunity to present each speaker with a complimentary gift take-away
- Opportunity for a demonstration of product following event program
- Attendance of company representatives
- List of event participants and contact information for one mass mailing following event
In addition to the promotional opportunities specified above, the following options are available in conjunction with each Future Forum. If selected, the cost of each option will be the sole responsibility of your organization. The costs for such opportunities will be presented for approval prior to selection.
Closing Reception
The opportunity exists to host a closing hospitality reception for event participants (luncheon, hors d'oeuvres, etc.)
Speaking Fees
In the event that a prospective speaker requests a speaking fee, your organization will be given the option to accept or decline his or her inclusion in the program. The cost of all speaker fees will be the responsibility of your organization.
Telemarketing and email Option
The opportunity exists to telemarket to or email blast to prospective attendees in preparation for the Future Forum. In the event of a group email, email addresses should be delivered to Fast Company for an electronic teaser three months prior to the event (if applicable).
Web Site Creation
The opportunity exists to create a Web page for the event (program information, online registration, and directions).
